FAQ – Key Details

Designed to remove guesswork at every stage

When will I receive my order?

Production takes 8–10 business days. Delivery takes an additional 1–10 business days depending on location. All items are produced in New York (USA) and shipped via FedEx or UPS. If you are using a PO box the items will be shipped with USPS.

Can I keep the Immersive Visual System outdoors permanently?

No. For optimal longevity, the system should be taken down after each event. Continuous outdoor exposure may cause fading in heat and material stretching over time.

What tools do I need for setup?

Requirements vary depending on the environment.

Basic setup — ropes and gloves
Advanced setup — poles, trusses, or additional rigging

Not sure what your space requires? Share it with us in the chat and we’ll advise.

What else do I need to create an immersive space?

Lighting is key. It defines the atmosphere and overall impact.

Projection mapping is optional, but adds another layer. This requires a projector (5000+ lumen) and a VJ.

We provide custom video loops designed for our core shapes to support this.

What are the ongoing maintenance considerations?

Occasional maintenance may be required over time.

Fabric elements can be affected by weather exposure, setup tension, or general use. Minor repairs or individual replacements may be needed depending on conditions and handling.

Is an Immersive Visual System suitable for outdoor or semi-outdoor venues?

Yes. Suitable for both outdoor and semi-outdoor use.

Our canopies and stage setups have been tested in a wide range of conditions, from wind and rain in Norway to strong sun and dust in Australia. Proper setup and handling remain essential.

Cleaning after each event is recommended.

Do you provide poles with the decorations?

We do not include poles in our sets — each order comes with printed fabric elements and metal carabiners for connecting the system.
Poles are not included because shipping them would significantly increase the overall cost of your order.

This approach keeps the installation flexible and allows you to source structural elements locally, depending on your setup and location.

What poles do you recommend?

For support, you can use:

  • Bamboo poles — a great organic option if available in your area
  • Steel pipes — standard construction pipes such as Schedule 40 in the US, or EN 10255 Medium series / EN 10219 structural tubes in Europe
  • Adjustable support poles — commonly known as jack posts in the US, or Acrow props / formwork props in Europe

For best results, we recommend a pole diameter of 1.5–2 inches / 4–5 cm.

All options above are widely available through local construction suppliers or event rental companies.

How can I avoid damaging the fabric during installation?

Do not overstretch the material. Apply tension gradually and within recommended limits.

With use, the fabric becomes easier to work with and allows for more tolerance during setup.

How much rope do I need?

Requirements vary depending on system size and venue.

Not sure? Share your setup or venue via chat and we’ll advise.

What kind of rope do I need?

Paracord (3–4 mm) is recommended.

Alternatively, use a low-stretch rope rated for at least 190 kg (425 lbs).

How tolerant to mistakes is an Immersive Visual System?

The system is intentionally forgiving.

Due to the nature of stretchable fabrics, perfect symmetry is not required. The artwork is designed to maintain visual integrity even with minor variations.

How long does setup take?

Setup time depends on system size, rigging method, and team experience.

Smaller configurations can be installed in under 2 hours, while larger or more complex setups may require additional time. With experience and preparation, setup becomes significantly faster.

How can I speed up the setup process?

Setup consists of two parts: the frame and the fabric system.

Frame
Use efficient structures such as foldable tents, pre-built truss systems, or venues with existing rigging points.

Fabric system
Plan your layout in advance based on venue dimensions. Pre-connecting selected elements can significantly reduce on-site time. Avoid over-connecting, as this can make the structure difficult to handle.

How do I choose the right layout?

Start with your venue dimensions. From there, select a layout that fits the space and matches the desired atmosphere.

To simplify this process, we provide a Layout Library with over 200 configurations designed for different setups.

Access is available via our newsletter. If you already have access and can’t find the link, you can reach out via chat.

How many people are needed for setup?

Minimum: 2 people
Recommended: 3–4 people, with one leading

Additional team members can speed up the process and improve overall precision.

Where can I source frames, poles, or structural support?

You can source structural elements from several places, depending on your setup:

Foldable tents
– Online marketplaces (e.g. Amazon) or local event suppliers

Poles (metal, wood, bamboo)
– Local construction or hardware stores

Frame tents (larger setups)
– Event rental companies or manufacturers (including international suppliers)

Geodesic domes
– Specialized dome manufacturers or niche suppliers

Truss systems
– Local event production teams or staging companies

If needed, you can share your location via chat and we’ll recommend suitable suppliers.

Will a fire marshal allow the use of these decorations?

This depends on local regulations.

Fire-retardant solid lycra (NFPA 701 certified) is available upon request. Certification can be provided if required.

This option typically increases the price by approximately 40%.
(Not available for mesh materials.)

How do I wash the fabric components of an Immersive Visual System?

Machine washing is safe under standard conditions.

Do not use chlorine bleach.
For stains or mold, oxygen-based cleaners may be used (test on a small area first).
